Who Can Rent Crawford’s Barn

Crawford’s Barn is only available to members of the Association. Members may extend use to family members or tenants who live at their property, but the member remains responsible for fees, damages, adherence to rules, and any other liability.

The privilege to use Association facilities is suspended when any assessment against the member’s property is unpaid.

Crawford’s Barn Barn is not available for events open to the public, for sub-renting, or for giving away for use by anyone other than the member.

The space

The barn holds up to 175 people; however, as a practical matter less than 140 may be comfortably seated. It includes a main event space, a kitchen with oven, range, refrigerator, and microwave, a wet bar, and three restrooms. A concrete ramp with handrails provides step-free access from the street-side parking.

Barn rental includes furniture available for use inside the building only:

  • 16 five-foot diameter round tables
  • 16 six-foot rectangular tables
  • 2 eight-foot rectangular tables
  • 138 Folding Chairs

Any furniture to be used outdoors must be rented separately. Parking is curbside on the surrounding streets, and no vehicles may be driven into the park.

Fees

Single-day event$350
Each additional day$50
Refundable security deposit$500

Fees and the deposit must be paid in advance. A reservation isn’t confirmed until both are received.

The security deposit is refunded within two weeks of the event if there’s no damage, no rules were violated, and no additional cleaning was required. Damage or cleanup costs are deducted from the deposit, and costs above $500 will be billed to the renting member.

There is no Cancellation Fee. If you need to cancel, contact the Barn Operation Committee as early as you can for a full refund.

Rental Period

Your rental runs from 3:00 PM the day before your event for setup time through noon the day after for cleanup.

Exact check-in and check-out times are arranged with the Barn Operation Committee.

Multiple consecutive days are available at $50 per additional day.

Noise and Closing Time

Crawford’s Barn is located inside a residential neighborhood, these limits are what keep it available for everyone.

  • 10:00 PM — music off, all guests inside the barn
  • Midnight — Event ended, all guests exit the barn

No yelling or loud disturbance outside the park, or while loading vehicles on neighborhood streets.

Insurance

You must carry Event General Liability Insurance of at least $1,000,000 per occurrence, covering every day you occupy the barn, including setup and cleanup days. The certificate must name College Greens East HOA as additional insured.

Event cancellation insurance is worth considering for events with significant outside costs.

Email your certificate to barn@cgehoa.org at least one week before your event.

How to reserve

  1. Request a date. Book through the rental portal or email barn@cgehoa.org. Requests may be made up to 12 months and no less than two weeks before your date.
  2. Eligibility check. The Barn Operation Committee confirms your account is current.
  3. Sign the paperwork. The committee sends you the Rental Application, Rental Agreement, and Liability Waiver.
  4. Pay. Rental fee and Security deposit. Your reservation is confirmed once both are received.
  5. Send proof of insurance at least one week before the event.

You’ll be assigned a Barn Operation Committee representative as your point of contact, they will answer any questions and assist you with self-check-in and check-out.

Rules and cleaning

Renters handle setup, takedown, hauling away all trash, and completing the cleaning checklist. Park trash cans may not be used for event trash.

A few rules that catch people out:

  • Only painter’s tape on walls. No pins, tacks, nails, staples, scotch tape, or duct tape.
  • No glitter, confetti, rice, or rose petals, real or fake, in the park or barn.
  • No open flame anywhere. Electric candles only.
  • No sparklers.
  • No vehicles in the park.
  • Alcohol may be served but not sold. No cash bars.
  • You must be present at your own event.

The full rules are in the Barn Operating Manual below. Read it before you book — the manual governs, and this page is a summary.
